Privacy Policy

This policy explains what information Satoris AI handles through the Client Portal, why we use it, when it is shared, and the choices available to you.

1. Scope

This Privacy Policy applies to the Satoris AI Client Portal, related onboarding, project, coaching, communication, billing, scheduling, credential, and support features, and other services that link to this policy (collectively, the “Services”). The Services are designed for businesses and their authorized representatives, not for personal, family, or household use.

If your organization has a separate signed service agreement, data processing agreement, or order form with Satoris AI LLC, those terms may include additional privacy and security commitments.

2. Information we collect

  • Account and contact information, such as your name, business email, role, organization, account identifiers, and authentication status.
  • Client and project information, including onboarding responses, project and task details, approvals, estimates, delivery dates, ideas, resources, and related notes.
  • Communications and coaching content, including portal messages, meeting details, homework, goals, comments, feedback, and files or recordings you choose to provide.
  • Systems and credential information you intentionally submit so Satoris AI can access or work with a business system. Secret values are encrypted and access is limited to authorized uses.
  • Billing and transaction information, including payment status, amount, date, Stripe references, and receipts. Payment card details are collected and processed by Stripe rather than stored in the Portal.
  • Scheduling information you submit, including the meeting link or time you select.
  • Technical and usage information, such as IP address, browser and device type, timestamps, request logs, security events, and necessary authentication cookies.

3. How we use information

  • Provide, secure, maintain, and personalize the Services and your organization's workspace.
  • Scope, estimate, approve, build, deliver, support, and bill for requested work.
  • Provide coaching, meetings, communications, AI-assisted features, and customer support.
  • Authenticate users, enforce permissions, prevent fraud or abuse, investigate errors, and protect clients and Satoris AI.
  • Improve the reliability and usefulness of the Services using operational analytics, feedback, and de-identified or aggregated information.
  • Meet contractual, accounting, tax, legal, and regulatory obligations and enforce our agreements.

4. AI-assisted processing

Some features use artificial intelligence to summarize, organize, draft, retrieve, or respond to information. Content you submit may be sent to contracted AI infrastructure providers only as needed to provide the requested feature, subject to our provider settings and agreements. Do not submit information you are not authorized to share.

Satoris AI does not sell Client Portal content or use private client content to train a public foundation model. AI output may be incomplete or inaccurate and should be reviewed before it is relied on or used externally.

5. How we disclose information

We may disclose information in the following limited circumstances:

  • To service providers that support the Services, including Clerk for authentication, Stripe for payments, Vercel and Neon for hosting and data infrastructure, Resend for transactional email, Calendly for scheduling, and contracted AI providers for AI-assisted functions.
  • To authorized Satoris AI team members, contractors, and your organization's authorized users when needed to perform the Services.
  • At your direction, including when you connect a system, share a project, invite a user, or approve an integration.
  • To comply with law, legal process, or valid government requests; enforce agreements; or protect rights, safety, and security.
  • In connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and notice requirements.

6. Sale, advertising, and cookies

Satoris AI does not sell personal data for money and does not use Client Portal data for cross-context behavioral advertising. The Portal uses cookies and similar storage that are necessary for authentication, security, preferences, and core operation. Third-party services you choose to open or embed may apply their own policies.

7. Retention

We retain information for as long as reasonably necessary to provide the Services, maintain the client relationship, complete work, resolve disputes, enforce agreements, meet legal and accounting obligations, and protect security. Retention depends on the data type and contract. Backup copies may remain for a limited period after deletion before being overwritten.

8. Security

We use administrative, technical, and organizational safeguards designed to protect information, including access controls, encrypted transport, encryption of submitted credential secrets, tenant-scoped authorization, and security logging. No system is perfectly secure. You are responsible for protecting your login, using appropriate devices and networks, and promptly reporting suspected unauthorized access.

9. Your choices and privacy rights

Depending on where you live and applicable law, you may have rights to access, correct, delete, restrict, object to, or obtain a portable copy of personal information, and to appeal a denied request. Authorized organization administrators can update some information in the Portal. You may submit other requests to contact@satoris.ai. We may verify your identity and authority before acting on a request.

If Satoris AI processes information solely for your organization, we may direct your request to that organization. We will not discriminate against you for exercising an applicable privacy right.

10. International processing

Satoris AI and its service providers may process information in the United States and other countries. Where required, appropriate contractual or legal safeguards are used for cross-border transfers.

11. Children

The Services are intended for business users age 18 or older and are not directed to children. We do not knowingly collect personal information from children through the Portal.

12. Changes and contact

We may update this policy as the Services or legal requirements change. We will post the revised version with a new effective date and provide additional notice when required.
